Cancellation and Refund Policy
Effective date: 4 July 2026
This Cancellation and Refund Policy applies to custom digital services provided by ASDeploy. Because services involve reserved professional time and work created according to individual client instructions, refund eligibility depends on the project stage, completed work, approved milestones, reserved time, and non-recoverable costs.
This policy should be read with the Terms of Service and the applicable quotation, proposal, invoice, order, marketplace agreement, or other written project agreement. Project-specific written terms take priority except where mandatory law provides a right that cannot be excluded.
1. Requesting cancellation
Send cancellation requests to services.asdeploy@gmail.com and include your name, project title or invoice reference, reason for cancellation, and requested stop date.
Cancellation becomes effective when ASDeploy confirms receipt and determines the status of the work. A cancellation request does not automatically create a right to a full refund.
2. Cancellation before work begins
If the client cancels before ASDeploy begins work or reserves non-recoverable resources, ASDeploy will generally refund the amount received after deducting non-recoverable payment or transfer charges, project-specific purchases, separately identified consultation or administrative work, and any other non-refundable amount clearly disclosed before payment.
Work may be considered started when ASDeploy begins reviewing files, researching requirements, preparing a structure, creating a draft, writing code, designing assets, configuring tools, attending an agreed meeting, purchasing resources, or otherwise performing the agreed service.
3. Cancellation after work begins
If the client cancels after work begins, any refund will be calculated by considering work completed, time spent, work reasonably committed or scheduled, drafts or deliverables supplied, completed or approved milestones, project-specific purchases, rush scheduling, and payment or transfer charges.
The client remains responsible for paying for work completed up to the effective cancellation date. Any refundable amount generally relates only to the unperformed portion of the agreed scope.
4. Advance payments and deposits
An advance or deposit may reserve working time, cover initial assessment and setup, or allow work to begin. The project agreement will state whether the deposit is refundable, partially refundable, or non-refundable.
Once work begins or time has been specifically reserved, a deposit may be retained in proportion to completed work, committed availability, initial preparation, administrative work, and non-recoverable costs.
5. Milestone projects
Approval may be shown by email, written confirmation, platform approval, payment of the next milestone, or an instruction to continue based on the completed milestone.
- A completed and delivered milestone is normally chargeable.
- An approved milestone is normally non-refundable.
- A milestone already used or incorporated into later work is normally non-refundable.
- A future incomplete milestone may be cancelled, subject to work already performed on it.
- Any refund will be calculated against the undelivered part of the prepaid milestone.
6. Completed and delivered work
A refund is not normally available merely because the client changes their mind, no longer needs the work, chooses not to use a conforming deliverable, receives rejection from a third party, changes requirements after delivery, supplied incorrect instructions, or expected an outcome outside the agreed scope.
This does not prevent a remedy where a deliverable materially fails to meet the agreed scope and ASDeploy cannot reasonably correct the issue.
7. Quality concerns and correction
A client who believes a deliverable materially fails to meet the agreed scope should notify ASDeploy promptly and, unless another period is agreed, within seven calendar days after delivery. The notice should identify the agreed requirement, the specific defect or omission, the affected file or output, and the correction requested.
ASDeploy must be given a reasonable opportunity to review and correct a genuine scope-related issue before a refund is considered. A refund is not normally issued where the issue can be corrected within the original scope and a reasonable period.
8. Revisions and changed requirements
Included revisions are intended to correct or refine work within the agreed scope. A new concept, different design direction, replacement source material, new data, additional pages or features, changed template, extra format, new publisher requirement, or work beyond the revision allowance may be treated as additional paid work rather than a basis for refund.
9. Rush and priority fees
Rush, urgent, weekend, holiday, or priority-scheduling fees compensate ASDeploy for rearranging availability and accelerating work. Once priority work begins or the requested time is reserved, the rush portion is normally non-refundable.
If ASDeploy fails to provide the agreed priority treatment for reasons within its reasonable control, an appropriate refund of the rush component may be considered.
10. Third-party and non-recoverable costs
Stock assets, fonts, templates, paid software, API usage, hosting, domain charges, data-access fees, transfer charges, payment-processing fees, conversion charges, marketplace commissions, approved external-specialist charges, and other project-specific purchases are generally non-refundable once incurred.
11. Client-caused delays and inactivity
A refund is not normally due for delay caused by missing files, late feedback, incomplete instructions, changed requirements, delayed payment, unavailable access credentials, corrupt files, missing institutional requirements, or failure to respond.
If a client is inactive for 30 consecutive days, ASDeploy may pause or administratively close the project after reasonable notice. Restarting may depend on availability and may require a revised schedule or reasonable reactivation charge where substantial remobilization is necessary.
12. Cancellation by ASDeploy
ASDeploy may cancel or terminate a project where the requested work is unlawful, unsafe, fraudulent, unethical, or prohibited; payment is overdue; required materials are not provided; the scope changes materially without agreement; the client engages in abusive conduct; or continuing creates an unacceptable legal, confidentiality, security, or technical risk.
If ASDeploy cancels for reasons not caused by the client, ASDeploy will refund the amount attributable to the undelivered portion. If termination results from the client’s breach, the client remains responsible for completed work, committed time, and non-recoverable costs.
13. Missed deadlines
A missed estimated deadline does not automatically create a right to a full refund. The remedy depends on whether the deadline was guaranteed in writing, the cause of delay, client contribution, work already completed, continuing value of the deliverable, and whether a revised date or partial refund is appropriate.
If ASDeploy cannot complete a material part of the agreed service for reasons within its reasonable control, the client may receive a refund for the undelivered portion.
14. Refund calculation and method
An approved refund may be calculated as the amount paid minus the value of completed work, approved or completed milestones, committed work where lawfully recoverable, non-recoverable third-party costs, and non-refundable payment or transfer charges.
Approved refunds will normally be returned through the original payment method where reasonably possible. Banks, payment processors, marketplaces, and card providers control their own processing times, and ASDeploy is not responsible for delays after a refund has been submitted to the provider.
15. Chargebacks and payment disputes
Clients should contact ASDeploy and allow a reasonable opportunity to investigate and resolve a genuine billing or service issue before initiating a chargeback.
Where a chargeback is filed, ASDeploy may provide the payment provider with relevant quotations, agreements, communications, delivery records, drafts, completed work, approvals, milestone records, and this policy. Nothing in this section prevents a client from exercising a lawful payment-dispute right.
16. Mandatory rights and contact
Nothing in this policy excludes, restricts, or replaces any refund, cancellation, quality, or consumer right that cannot lawfully be excluded.
